Launch checklist
Make the QR menu ready before the first guest scans.
A QR code is only useful when it opens the current menu and the next step is clear. Use this checklist to prepare, test and maintain the guest journey for hospitality Businesses worldwide with one to five locations. For more than five locations, contact Tableee about an Enterprise plan.
For one to five locations, Tableee Pro is £99 per location per month, plus VAT where applicable. AI-assisted menu imports have daily usage limits and remain drafts for review.

01
Prepare the menu guests are meant to see
Choose one approved source for the current menu. Organize it into clear sections, then check item names, descriptions, prices, options and availability before publishing. Tableee can draft sections, dishes and prices from a menu photo or PDF; an owner or admin reviews and corrects the draft before saving.
Compare every imported item and price with the approved menu.
Check options, dietary details and item availability with the person responsible for the menu.
Assign one owner to publish changes when the service menu changes.
02
Choose browsing or ordering for each QR journey
Decide whether guests only browse or can submit their own orders. If ordering is enabled, agree how staff receive items, who handles exceptions and which kitchen stations need each item.
Follow the same path a guest will use from scan to menu or checkout.
Confirm the team knows how to manage an unavailable item or changed order.
Keep a staff-assisted option available for guests who prefer not to scan.
03
Place codes where guests can find and scan them
Use a stable, easy-to-see location on the table, counter or other intended surface. Test the printed code in the venue’s lighting with more than one phone, then make sure it opens the correct Business and menu.
Scan a fresh printed code rather than only testing its source image.
Check that section names, item details and prices are readable on a phone.
Use separate codes where a table-specific or service-specific journey is intended.
04
Rehearse an update and any order handoff
Ask a team member to change an item or mark it unavailable through the normal workflow. Scan again from a guest device and verify the change appears. If ordering is enabled, run a small test through the staff and kitchen workflow before launch.
Confirm an edit is visible on the public menu after saving.
Check order status as an item moves through new, preparing and ready states.
Agree who handles a failed or interrupted online payment with the guest.
05
Keep ownership clear across shifts and locations
Record who approves menu changes, who can edit the public menu and who checks ordering after an update. Include those owners in shift handoff so the published menu matches what the team can serve.
Name an editor and a reviewer for each Business location.
Recheck QR codes after a venue, menu URL or table-label change.
Review the journey after a major menu or ordering change.
Your questions, answered
Can Tableee import a menu photo or PDF?
Yes. AI-assisted import can draft menu sections, dishes and prices from a photo or PDF. An owner or admin reviews and corrects the draft before saving.
Does every QR menu need online ordering?
No. A public menu can be for browsing. Decide whether guest-submitted orders suit the service, then test the staff and kitchen handoff before enabling that journey.
Are AI menu imports unlimited?
No. Tableee’s AI-assisted setup tools have daily usage limits, and every imported menu remains a draft for owner or admin review.
